OVERVIEW

Sync and Share as a Service is an online file sharing and mobile collaboration solution that enables users to access their files and data on all their devices, online or offline. The service is powered by Syncplicity from EMC and is based on Pan Government Accredited Cloud Storage hosted at UKCloud’s UK data centres.

Designed with data and file management in mind, Syncplicity includes centralised management, security and access control. It provides a stable and secure platform for:

  • Driving cross-team, cross-department and cross-sector collaboration
  • Giving mobile and field workers access to the data and files they need — wherever they are
  • Reducing the spread of shadow IT systems that don’t have centralised governance and control — and so lowering the risk of data leaks
  • Supporting bring/choose your own device (BYOD/CYOD) schemes — allowing users to work on a wide range of devices

Our Sync-and-Share as a Service is designed specifically for the UK Public Sector so assurance is paramount. It is at the core of everything we do. SERVICE LEVEL INFORMATION

The SLA related to UKCloud Storage covers availability of the underlying Cloud Storage. It doesn’t cover the Syncplicity client software application, availability of the Syncplicity hosted orchestration layer, or resolution of support calls with Syncplicity. Syncplicity doesn’t offer a backed SLA for its service.

TECHNICAL SPECIFICATIONS

  • Syncplicity includes management features that cover security, administration and reporting:
    • Active Directory synchronisation for user provisioning, deprovisioning and single sign-on (SSO)
    • Access restrictions including admin password and login restrictions, two-factor authentication and mobile passcode
    • AES 256-bit encryption of all data both in transit (across the internet) and at rest (while stored on UKCloud’s UK-hosted Cloud Storage platform)
    • Admins can remotely wipe customer data within devices, user accounts, and folders
    • Group-level policy control with policy set ranking allows you to set who has access to your organisation’s data, where, when and how
    • Access restrictions — impose external sharing restrictions, policies that restrict or permit sharing by device, network, IP and approved domains
    • Secure shared link policies (restrict recipients, require password, set password strength and link expiration)
    • Mobile data plan policies, mobile editing policies (restrict third-party apps) and mobile push sync controls
    • Data retention policies with automatic deletion — define rules and actions around file conflict policies
    • Admins control group and user management, user storage quotas, file restores and version views
    • Usage reports — audit reports by user, device, folder, and file
    • Dashboard view of storage utilisation and seats deployed

SERVICE OPTIONS

Support for all aspects of the Syncplicity software service is provided by Syncplicity (an EMC company) via its online portals and service helpdesk.

Customer data is stored on the UKCloud Storage service. The Cloud Storage support options and SLA apply — see the UKCloud Storage service description.

Additional Service Options

Premier Support

Customer support option which offers a more personalised support experience for customers with large or complex solutions. Customers subscribing to this option will be assigned a designated Technical Account Manager who will work pro-actively with customers to optimise their solution as well as help with problem solving. Customers will also receive onsite bespoke training (including advice on DevOps), tailored workshops, performance analysis and solution suggestions, and quarterly reporting and reviews.

Global Load Balancing

  • Enables customers to direct internet traffic across multiple end-points (which can be across different sites or different platforms)
  • UKCloud subcontracts this service to Neustar, global leaders in network and security services
  • Requires a 12-month minimum term commitment

Application-tuned DDoS protection

  • A domain-based service that can be finely tuned to the profile of specific applications and workloads
  • Complements UKCloud’s platform-level DDoS protection
  • UKCloud subcontracts this service to Neustar, global leaders in network and security services

What is Sync and Share as a Service?

Sync and Share as a Service is an enterprise file sharing and collaboration software solution.

How will I be billed for Sync and Share as a Service?

As the service requires licensing and storage, there will be two invoiced items for the Sync and Share as a Service:

  • Licensing of the EMC software licence which is purchased and invoiced on an annual basis in advance.
  • Storage is charged as per UKCloud’s G-Cloud service descriptions – in arrears based on the amount of Storage used during a one month period.

Does UKCloud offer a free trial?

Yes, UKCloud can configure a free 30 day trial for up to 50 users running the full version of the EMC software on the UKCloud secure platform. This can be arranged via your approved partner or by contacting UKCloud direct.

Where is the service hosted?

The majority of the solution is hosted in UKCloud’s pan government accredited UK data centres.

An orchestration layer that facilitates sign-in from the internet and redirecting to your storage bucket is hosted by EMC.

No personally identifiable data is stored in the orchestration layer.

All customer data is stored in UKCloud’s pan government accredited UK sovereign data centres.

Does my data leave the United Kingdom?

No, all your data is stored in UKCloud’s UK data centres and will not leave the UK.

Where is my support delivered from?

Support is delivered by the EMC Syncplicity team.

Does the support team have access to my data?

No, only you have access to your data.

On occasion, when requiring assistance from the support teams, an operative may request a locally generated log file.

This file does not contain any sensitive or personally identifiable information and is used for trouble shooting only.

Can I use the service in the UKCloud elevated (previously IL3) cloud?

At present the Sync and Share as a Service solution requires connection to the internet to work and is only available on the Assured platform. However, if you do require this solution on the Elevated platform, please contact UKCloud to discuss your requirements

Can I use Sync and Share as a Service over closed networks such as PSN or N3?
